How Many Pax Do You Need? A Portion Planning Guide for Halal Catering in Singapore

One of the most common questions we get when clients order halal catering in Singapore, whether it is a bento set, mini buffet, or full buffet spread, is: how much food do I actually need? Getting your pax count right is one of the most practical things you can do to manage your catering budget in Singapore without sacrificing the quality of your guests' experience.


How to Estimate Pax for Halal Catering in Singapore


The starting point is always your confirmed headcount. But confirmed does not always mean accurate, people cancel last minute, walk-ins appear, or dietary requirements mean some guests eat more of certain dishes than others. As a general rule:


  • Bento sets: order 1 box per confirmed guest. Since bento is individually packed, there is no sharing or uneven distribution. If your headcount is not fully confirmed, add 5-10% extra boxes as a buffer
  • Mini buffet and regular buffet: order for your confirmed number, then add approximately 10% as a buffer to account for guests who eat more, second helpings, or last-minute additions

For private events like birthdays or family gatherings, most hosts tend to over-order rather than risk running short, which is perfectly fine, just factor it into your budget from the start. For corporate events, headcount is usually more controlled, so a smaller buffer is typically sufficient.


How Halal Buffet Catering Portions are Calculated


For buffet and mini buffet catering, food is not served in individual portions, it is set out as a shared spread. Here is how we calculate quantities:


  • Dishes served by pieces: we portion at approximately 1.5 pieces per person. So for a dish like gyoza or ngoh hiang, a group of 20 would receive around 30 pieces. This accounts for guests who take one piece and those who take two
  • Dishes served by weight: we portion at approximately 80g per person per dish. A protein dish like chicken or fish for 20 guests would be prepared at around 1.6kg
  • Rice and noodles: typically portioned at 50% of the total pax, since most buffet menus offer both a rice and a noodle option and guests usually choose one

Understanding this helps you plan how many dishes to order relative to your group size, and why adding extra dishes does not always mean significantly more food, it means more variety.


Catering for Events with Staggered Arrival Times


Yes, especially for events where guests trickle in over a long window rather than sitting down together at a fixed time. For mini buffet orders, our self-heating packs keep food warm for an extended period without requiring any power source or chafing equipment, making them ideal for events where guests arrive at different times. For regular buffets, wax fuel burners keep chafing dishes at the right temperature throughout your function window, up to 4 hours from our arrival time. If your event runs longer than 4 hours, let us know in advance and we can arrange extended coverage.


Catering for Mixed Dietary Requirements in Singapore


If your group includes guests with specific dietary needs: vegetarian, vegan, healthier choice, or allergen concerns, let us know when you place your order. We can accommodate most dietary requirements with advance notice, either through dedicated vegetarian sets or by recommending the right menu combination to ensure everyone is covered. For bento orders, vegetarian and standard portions can be packed separately and labelled clearly, making distribution straightforward for large corporate groups.


Minimum Order Requirements


Before you finalise your order, keep these minimums in mind: bento sets and mini buffet require a minimum of 10 pax, while regular buffet requires a minimum of 20 pax.
